This is a full-time role as Warsaw Engineering Chief of Staff (CoS), working closely with the Head of Warsaw Engineering, Warsaw Office CoS, EMEA Engineering Management and Strategy to execute Warsaw engineering strategy, oversee Warsaw specific engineering projects, and coordinate FTE and FTC recruitment with HCM and hiring managers. This role requires excellent organisational skills, data analytical skills and ability to multi-task on many office driven initiatives with excellent communication skills.
Warsaw Engineering Strategy - the Warsaw Engineering strategy is focusing on building Engineering Excellence, improving Engineering culture, and promoting GS in the local market. The key tasks include:
- Collaboration with the Warsaw Office CoS and office-wide strategy pillar owners to ensure Engineering participation. Responsible for creating Engineering specific initiatives and working groups to support the Engineering strategy.
- Coordinate and drive the Engineering recurring meetings for the Management and Leadership teams and for the Warsaw Engineering Monthly.
- Promote communication and awareness across divisions and business units by ensuring teams get visibility in the recurring engineering events and Warsaw Engineering newsletter.
- Collaborate with Warsaw and EMEA groups (Women in Engineering, Warsaw Women’s Network, Warsaw Hackathons, Meetups) to plan, promote, and organize their events.
Warsaw Engineering Projects - this role involves managing the Warsaw R&D Engineering Tax program:
- Keeping employee and admin training materials up to date and coordinating regular trainings with eligible employees and external vendor on the process.
- Ensuring that all departments have valid R&D Tax work limits. In case of new departments (or in case of material change of the work being done), organize external assessments for the work limits.
- Oversee and participate in the R&D Tax program maintenance and uplifts based on the recommendations and changing regulatory or tooling needs.
- Managing the monthly operational tasks work with part of the Engineering R&D Tax team, working with HCM, and Comp Accounting.
Recruitment and Vendor Relationships - the Warsaw Engineering CoS helps coordinating the recruitment process for the Warsaw Engineering horizontal by:
- Providing metrics and visibility for the open roles, the recruitment pipeline, and recruiter and vendor engagements.
- Promoting open roles in Engineering and Office-wide forums for internal mobility.
- Working with the Engineering Leadership to ensure hiring managers understand the local market dynamics and provide timely engagements and feedback for the stakeholders.
- Oversee and help teams to fill contingent worker roles.
- Coordinates FTC re-allocations with Engineering teams when contingent workers are about the finalize their current assignments.
- Oversees the invoice process for the direct vendor relationships and helps resolving any payment issues with the divisional budget owners.
- Acts as a VRO for the direct vendor relationships.
Qualifications
- At least 4-5 years of experience on similar position
- Previous Project Management background preferably within the financial services/consultancy industry
- Polish speaker + advanced knowledge of the English language
- Extensive knowledge of MS Office, including Outlook, Word, PowerPoint and Excel
- Comfortable working with numbers, with an analytical mindset
- Ability to be proactive, take initiative, prioritise and multitask
- Strong time management, prioritisation and organissational skills
- Excellent attention to detail
- High level of written and excellent verbal communication skills
- Ability to handle sensitive and confidential information
