A global financial company is seeking an Administrative Assistant within Global Banking & Markets, Investment Banking Engineering, based in Bengaluru. The assistant will be responsible for providing calendar management support for Engineering leadership in Bengaluru, backup support for colleagues within the global team, and ad hoc administrative support to other members of the team. This role is responsible for various administrative functions for the local team, as well as projects and ongoing administrative responsibilities across the global team.
This role works within a team of assistants globally supporting IB Engineering leadership. The Assistant will be provided with full in-house and remote training. This would suit someone with several years’ experience working as an Assistant with knowledge of diary management, expense and invoice processing, coordination of administrative tasks such as onboarding processes. This is a demanding role which requires extensive support from a highly competent, proactive, independent, and process driven individual. Experience of working in a finance or professional services environment is desirable.

The duties of the role include:
- Diary and calendar management at MD and VP level
- Coordinating and scheduling of meetings and conference calls across multiple time zones
- Managing high volume of phone calls and emails, relaying information in a timely and accurate manner
- Coordinating room bookings for internal/external meetings and VCs across multiple locations
- Coordinating travel arrangements for the team, international flight and accommodation bookings, trains and cars as required
- Expense management and expense report preparation
- Invoice processing
- Supporting teams in day to day issues, needs and queries
- Taking on ad hoc tasks while maintaining workflow and adhering to deadlines
- Providing holiday coverage for colleagues across the global team
