Job Summary of Responsibilities:

  • Provide administrative support to senior executive within the Private Wealth Management business in a complex team environment. 
  • Maintain and coordinate complex and extremely detailed calendars, prioritizes senior-level internal/ external client meetings, conference calls, media and speaking engagements.
  • Handles highly confidential and sensitive information with utmost discretion. 
  • Manages high volume of phones calls and interacts with high level business leaders and clients in a professional and effective manner. 
  • Coordinates a high volume of domestic and international travel arrangements and processes expense reports in a timely manner. 
  • Prepares and distributes correspondence, agendas, memos, letters, reports or other documents as requested. 
  • Maintains understanding of firm policies and handles certain issues independently. 
  • Organizes and ships materials to clients as needed. Responds and follows up on client requests. 
  • Works with conference and catering services for client engagements as needed. 

Skills & Qualifications:    

  • Experience supporting high level executive in a complex environment 
  • Ability to exercise good judgement and discretion in dealing with confidential material or handling highly sensitive information 
  • Requires excellent interpersonal and communication skills, both written & verbal. Ability to display a consistent, professional degree of communication
  • Extreme attention to detail and organizational skills, with ability to prioritize tasks.
  • Quick learner and self-starter with excellent anticipation skills; problem solving; follow up.
  • Comfortable working with people at all organizational levels. 
  • Ability to work well under pressure, adapt to unexpected events, prioritize and multi-task in a dynamic but deadline driven environment. 
  • Must have excellent judgment, independent thinker and resourceful.
  • Highest degree of integrity, professionalism and diplomacy is required. 
  • Strong proficiency in MS Word, Excel, PowerPoint and Outlook is required
  • Familiar with expense platforms such as SAP Concur. 
  • Team player with a positive attitude.
  • Prefer 8-10+ years of experience.
