Job Summary & Responsibilities:
- Support Managing Directors in the US and provide backup phone & calendar support for the ISG Tactical team as needed.
- Coordinates logistics for ISG/PWM client calls, ad hoc and recurring MD meetings including schedules, teleconference rooms and calendar conflicts on an ongoing basis.
- Handles highly confidential and sensitive information.
- Manages invoicing and arranges payment for high profile speakers on a timely manner.
- Tracking and processing market data, publication and subscription renewals.
- Interacts with high level business leaders in a professional and effective manner.
- Organizes and ships materials to clients. Responds and follows up on client requests.
- Maintains complex and extremely detailed calendars and prioritizes meeting requests and related logistics.
- Coordinates a high volume of domestic and international travel arrangements and processes expense reports.
- Prepares and distributes divisional correspondence, agendas, letters, reports or other documents as requested.
- On-boards new hires, processes new employees, transfers, termination, etc.
- Maintains understanding of firm policies and handles certain issues independently.
- Backup support for the ISG administrative assistants with phone coverage and calendars.
- Responsible for participation in general administrative duties, ad-hoc projects, committees and or group events
Qualifications:
- Experience supporting high level executives in a complex environment.
- Ability to exercise good judgment and discretion in dealing with confidential material.
- Demonstrates high degree of integrity and confidentiality.
- Requires excellent interpersonal and communication skills.
- High attention to detail.
- Ability to solve problems quickly and efficiently.
- Strong knowledge of general business, corporate and cultures.
- Ability to handle highly sensitive, confidential and non-routine information.
- Self-starter with excellent anticipation skills; problem solving; follow up.
- Strong organizational skills and ability to prioritize tasks.
- Comfortable working with people at all organizational levels
- Strong proficiency in MS Word, Excel, PowerPoint and Outlook is required
- Team player with a positive attitude.
- Prefer 3+ years of experience.
Salary Range
The expected base salary for this New York, New York, United States-based position is $65000-$95,000. In addition, you may be eligible for a discretionary bonus if you are an active employee as of fiscal year-end.
